Use the HERPS page for your exact location and date to confirm the reservation and rules. Save the confirmation, budget the whole trip, and prepare a sales log and payment references before setup. This independent checklist covers records preparation; HERPS handles registration and show requirements.
Start with the correct location and date
Open the official HERPS show directory, then the location’s details and vendor registration pages. Keep a copy of the selected date, quoted total and confirmation. Do not assume a submission alone means the tables have been accepted or paid.
As a checked example, the HERPS directory listed Belton for December 5–6, 2026 on October 13, 2026. Its Belton details page names the Bell County Expo Center. Recheck the organizer before making travel arrangements; this article is not a live calendar.
Separate published terms from your confirmed bill
At our check, the Belton vendor page listed tiered table pricing and extra badge charges. It also described cancellation charges within 14 days, setup windows and vendor-supplied table covers. Confirm current terms directly, including the payment method and what is included in your reservation.
- Save the invoice or organizer’s written quote and the payment reference.
- Record cancellation deadlines in your own calendar.
- Confirm setup access, table dimensions, electricity needs and additional badge costs for your booking.
- Keep organizer rules with the species-specific requirements you have verified separately.
Our budget worksheet records what you actually paid. It does not treat the website’s advertised first-table price as the total cost of attending.
Pack a records kit alongside the display
Bring a way to record cash sales if the card reader or connection is unavailable. Start a fresh event log with the show name, city and dates. Choose an item identifier, record your opening cash float, and keep sales tax and refunds in separate columns.
For a tarantula or isopod table, distinguish species or cultures and quantities rather than entering every sale as “inverts.” For reptiles, retain the animal identifier where you already use one. Your records should let you connect the item sold to the payment received.
Reconcile the weekend in two passes
First, compare the event sales log with cash and payment reports. Second, compare processor payouts with the bank when they arrive. A Monday deposit can belong to a weekend show, and several show days can be combined in one payout. Do not record both the sale and its payout as new income.
Record table fees, travel payments and other costs in the expense log, then use the closeout worksheet to list missing evidence. Keep trades and unpaid amounts as separate questions for review.
Use the result to improve the next booking
Compare events using the same cost categories. Note stock brought, stock sold, travel demands and recordkeeping gaps. A higher sales total can still leave less cash after the entered show costs. Use the cash-summary calculator as a limited planning aid and preserve the original reports.
