Before booking a Texas expo, confirm the organizer’s current terms, compare the full weekend cost, check the rules for your animals and sales, and choose how you will log each payment. After the show, match sales to cash, refunds, fees and deposits before judging the result.
Which Texas reptile shows should you research?
Start with these organizer pages, then narrow your choice by travel distance, stock, available tables and budget. This is a research shortlist, not an attendance or profitability ranking. A popular show is not automatically the right show for your business.
| Organizer | Where to begin | Before committing |
|---|---|---|
| HERPS | A multi-location circuit with Texas show pages, including Belton. | Open the city’s separate vendor registration page and confirm the selected date. |
| Lone Star Reptile Expos | The organizer’s current Texas locations and event listings. | Confirm the venue, table availability and terms for that specific event. |
| Repticon | The Texas directory links to Dallas, Houston, Austin (Taylor) and Lubbock pages. | A location link does not establish a current booking date. Check the event calendar. |
| Texas Reptile Expo | The organizer’s vendor information and show details. | Keep the quoted table cost and written reservation confirmation together. |

Build a weekend budget before booking
Write down tables, extra badges, transport, hotel, parking, payment fees and supplies. Keep costs you pay for the event separate from the longer history of producing or acquiring the animals you bring. Include a note about your time even if you do not assign it a dollar value.
For example, $1,500 of sales with $425 in entered show costs leaves $1,075 before animal costs and other exclusions. That tells you something about the weekend, but it does not establish profit. Try the expo cash-summary calculator to see the difference.
Keep three different checks on your list
- The organizer: table confirmation, cancellation terms, setup access and display rules.
- The animal or product: species, origin, destination and any applicable transport or sale requirements. Confirm with the relevant authority; a table reservation is not a permit.
- The sale: tax registration, tax collection and records for the event’s location. Start with the Texas expo sales-tax guide.
For a HERPS weekend, use our HERPS vendor preparation checklist alongside the organizer’s current instructions.
Give each sale a reference you can follow
Use a receipt number or another short identifier. Record the item, quantity, customer payment, any tax, payment method and refund reference. A cash sale needs a record just as a card sale does. For isopod cultures or feeder lots, use units you can count consistently; for individually tracked reptiles, carry the animal identifier into the sale.
Download the expo closeout worksheet to organize event totals and the supporting reports. It complements the individual sales log; it does not replace it.
Close the show before planning the next one
Count cash after accounting for your starting float. Match processor reports to expected deposits. Keep unpaid balances, trades, refunds and stock brought home visible. Then write three notes: what sold, which costs surprised you, and which records still need attention.
Follow The Breeder’s Ledger closeout routine. If the same gaps recur across several shows, a bookkeeping scope review can start with the records and months you already have. RENLO Advisory takes inquiries for virtual support across Texas.
