This free expo calculator subtracts refunds, a sales-tax set-aside and entered event costs from customer payments. It helps compare one limited part of a show weekend. It does not calculate tax due, deductibility, animal production costs or total business profit.

Calculate your event cash summary

These are fictional example amounts. Replace them with one event’s records. Nothing entered in this calculator is sent or saved.

Payments after refunds and sales tax set-aside: $1,500.00

Entered event costs: $425.00

Remaining after entered costs $1,075.00

Event cash summary only. Animal production or acquisition costs, unsold inventory, ongoing overhead, your time, and income taxes are excluded unless an applicable cash payment is entered above. This is not taxable profit or a deduction calculation.

The formula and a worked example

Remaining cash summary = customer payments − refunds − sales tax set aside − processing fees − table fees − travel − other entered costs.

In the fictional example, $1,623.75 in customer payments minus $123.75 set aside for sales tax leaves $1,500. Subtract $45 processing, $150 tables, $180 travel and $50 other costs: the result is $1,075. These are sample inputs, not typical sales, an organizer quote or an earnings promise.

If your processor report already subtracts fees, use its gross customer payments instead of its net payout. If you only have sales excluding tax, add the actual tax collected when preparing the customer-payments input so the set-aside is not subtracted twice.

Why the result is not expo profit

You may have paid to acquire or raise the animals long before this show. Feeders, housing, equipment, unsold inventory, losses and your time are not captured automatically. A positive cash summary can coexist with an unprofitable operation. A cash payment is also not automatically a current tax deduction.

Keep quantity and cost history separately using the animal records guide. Discuss the accounting and tax treatment with the person reviewing your books and return.

Keep the records behind the number

Use the expo closeout worksheet to connect the event totals to your sales log, payment reports, expense receipts and bank deposits. An unexplained difference belongs on the question list; do not change a source report to make the calculator agree.
